The sales reports in Financial Reports help you review what your business sold. They use checkout date, which may differ from the date the customer paid.

Use this guide to choose the right level of detail, review daily or monthly sales, and investigate the items behind a total.

Choose a sales report

Report

What one row represents

Use it to

Sales summary report

A total for the grouping you select

Compare sales by location, Revenue category, item, or checkout period

Sales invoice report

One invoice

Review invoice totals, collected amounts, refunds, and the amount still owed

Sales detail report

One sold item

Review services, add-ons, products, pets, assigned staff, and category assignments

For example, a boarding invoice might contain a stay, an enrichment add-on, and a retail item. The invoice appears once in Sales invoice, while its individual items appear on separate rows in Sales detail. Different row counts do not mean the invoice was counted twice.

Understand the dates and included sales

Sales reports cover invoiced sales by checkout date. A booked appointment that has not yet been invoiced is not included simply because it exists on your calendar. Checking out an appointment without creating its invoice does not make it an invoiced sale.

An invoice does not have to be fully paid to be included. Sales and payment collection are separate events.

Business event

Report to use

A boarding stay is checked out and invoiced

Sales reports, using checkout date

The customer pays before or after checkout

Payment reports, using transaction date

You want to review booked appointments not yet checked out

Review Sales summary

  1. Open the Sales tab in your reports and select Sales summary report.

  2. Set the Checkout date range for the period you want to review.

  3. Check Business name so the report covers the correct location or locations.

  4. Choose Group by to organize the totals. For daily sales, select Checkout date – Day; use Week or Month for a longer view.

  5. Add Revenue category or Item name filters if you need to focus on part of your business.

Metrics

Metric

What it tells you

Total gross sales

The sales value before discounts

Total discount

Discounts applied to the included items

Total net sales

The net sales value of the included items; discounts and redemptions can affect this amount

Number of items

How many sold items are included

Sales summary does not include separate tips, taxes, or refund metrics. Use Tips report for tips, Sales tax report in the Finance tab for tax collected by payment date, and Sales invoice report for invoice-level tax, refund, and fee totals. Use Payment transaction report for individual payment or refund events.

Grouping and filters

You can group by up to three levels using Business name, Revenue category, Revenue sub-category, Checkout date, and Item name. For example, Business name → Revenue category → Item name shows each location's sales, then the categories and items within it.

Filters include Business name, Revenue category, Checkout date, and Item name. To review sales assigned to a staff member, use Sales detail instead.

If you see Category not assigned, review your Revenue Category setup.

Review Sales invoice

  1. Select Sales invoice report in the Sales tab.

  2. Use the same Checkout date range and Business name when comparing it with Sales summary.

  3. Find an invoice using Invoice ID, Booking ID, or Client name. Appointment start and end date filters can further narrow the list.

  4. Review the invoice totals, including sales, discounts, taxes, tips, fees, collected amounts, and refunds.

Net invoice balance shows the amount still owed. A positive balance means money is still due; a negative balance means the invoice is overpaid. The Overpaid filter helps you find overpaid invoices.

For a list of unpaid invoices as of a selected date, use Open invoice. Before following up with a customer, check the invoice's payment and refund history.

Review Sales detail

  1. Select Sales detail report in the Sales tab.

  2. Set Checkout date and Business name for the sales you want to inspect.

  3. Narrow the items using Item name, Category, or Revenue category.

  4. Use Assigned staff to review items assigned to a particular staff member, or Invoice ID, Booking ID, and Client name to investigate a specific visit.

The report includes item name, pet name, quantity, unit price, gross sales, discount amount, and net sales. Package redeemed and Membership redeemed help you recognize items covered by those benefits.

📝 Note: Sales detail uses checkout date. Pet and staff information here is attached to sold items, not to individual payments.

Check the detail behind a total

Sales summary rows do not open another report automatically. Open Sales invoice or Sales detail separately and apply the same location and checkout-date range, plus corresponding filters where available.

When comparing totals, check that you are comparing the same measure. A net sales total is different from an invoice's total collected, taxes, or tips. Package and membership redemptions can also affect item values.
