How payment reports work in Smarter Reports (Alpha)

Compare Payment Summary and Payment Transaction reports, including when to use each one for payments, refunds, and processing fees.

Payment reports help you review money movement in your business.

Use these reports when your question starts with "What money was collected, refunded, or charged?" rather than "What did we sell?"

How payment report timing works

Payment reports are based on transaction date.

This means a payment appears based on when the payment or refund happened, not necessarily when the appointment happened or when the invoice was checked out.

📝 Note: If an invoice was checked out in one date range but paid in another date range, Payment reports and Sales reports may show different totals.

📝 Note: Smarter Reports update approximately every 20 minutes. Recent activity may not appear immediately.

When to use Payment Summary

Use Payment Summary when you want a high-level view of payments and refunds.

Common questions include:

  • How much money did we collect during this date range?

  • How much was refunded?

  • How much did we pay in processing fees?

  • How much of the processing fee was covered by the client, if applicable?

  • How much did we collect through each payment method?

When to use Payment Transaction

Use Payment Transaction when you need the detail behind the summary.

Common questions include:

  • Which transactions make up this payment total?

  • Which customer or invoice is connected to a payment?

  • When did a refund happen?

  • What payment method was used?

  • What processing fee was connected to a transaction?

For example, if a customer pays a deposit before the appointment, the payment may appear before the sale is checked out.

⚠️ Important: A Payment Summary total should not be expected to match Sales Summary for every date range.

Why payment totals may differ from payouts

Payment reports help you review payments and refunds, but they may not match a bank payout exactly.

Payouts can be affected by:

  • Payment processor settlement timing

  • Processing fees

  • Refund timing

  • Chargebacks or adjustments

  • Payout schedule

  • Other payment processor activity

If you are reconciling payouts, compare payment reports with your payment processor and bank records.
