𧪠Beta: This guide is for boarding and daycare businesses using Financial Reports with Smarter Invoice. Financial Reports are currently in beta. Contact MoeGo Support to request access.
Cash basis sales reports are part of Financial Reports. They organize collected amounts by transaction date and show which items and categories those amounts relate to.
Use this guide to review received amounts by category and investigate the items behind them.
Choose a report
Report | What it shows | Use it for |
Cash basis sales report | Collected amounts summarized by your selected groupings | Reviewing collections by location, Revenue category, item, or payment method |
Cash basis sales detail report | One row per item within a payment | Investigating the items, categories, and payments behind a total |
A payment covering a boarding stay and an add-on can appear as multiple detail rows. Those rows describe the parts of the payment, not separate payments from the customer.
Understand Total net sales
In Cash basis sales, Total net sales includes collected amounts for items, tips, tax, and processing fees paid by clients. Despite the metricâs name, it is not a sales-only figure.
To review sales only, exclude the amounts in the Tip, Tax, and Processing Fee Paid by Client categories.
Understand payment timing
The selected transaction-date range determines the payment period you are reviewing. It does not have to match the appointment or checkout period.
For example, a boarding stay is checked out and invoiced on November 1, and the customer pays on November 6. The payment date and checkout date belong to different reporting questions:
Question | Starting report | Date to review |
What money was received, and which categories does it relate to? | Cash basis sales | Transaction date |
Which payment was received? | Payment transaction | Transaction date |
What was sold on the checked-out invoice? | Sales reports | Checkout date |
Review collected amounts by category
Open the Sales tab in your reports and select Cash basis sales report.
Choose the transaction-date range for the payments you want to review.
Check Business name so you are reviewing the correct location or locations.
Choose Group by and select Revenue category for your custom categories, or Category for the report's built-in item categories.
Review Total net sales for each group, then open the detail report if you need to inspect the items behind a value.
Grouping options include Business name, Revenue category, Revenue sub-category, Category, Payment method, and Item name.
If a group says Category not assigned, check whether its items have been assigned to a Revenue Category.
Inspect the items within a payment
Open Cash basis sales detail report separately in the Sales tab.
Use the same transaction-date range and business scope as the summary you are investigating.
Review the item and category information alongside the invoice reference and Payment method to identify the relevant records.
Compare the relevant rows, keeping in mind that one payment may be represented by several item rows.
The detail report includes item name, amount, payment information, Revenue category, and Revenue sub-category. Appointment and checkout dates provide context, but the report's payment period is based on transaction date.
Compare with other reports
If you are comparing with⌠| Check this first |
Sales summary | Sales summary uses checkout date and excludes tips and tax from its net sales. Cash basis sales uses transaction date, and its Total net sales includes tips, tax, and processing fees paid by clients. Check both the dates and the included amounts before comparing totals. |
Payment summary | Match the location, transaction dates, payment methods, and other applicable filters before investigating the difference. |
A bank deposit or processor payout | Use payout records as well. Payment collection and payout settlement can happen on different dates. |
â ď¸ Important: Cash basis sales is not a payout reconciliation report. A payout may reflect processing fees, refunds, adjustments, and settlement timing that differ from the collected amounts shown here.
If a difference remains unexplained, contact MoeGo Support with the report names, location, date range, filters, and a specific invoice or payment example.
