Use this FAQ when two reports do not match, a recent transaction is missing, or you are not sure which Smarter Report to use.
Why do two reports show different totals?
Different reports answer different business questions.
For example:

Sales reports | What did we sell? |
Cash Basis Sales reports | What revenue was received based on payment timing? |
Payment reports | When did money move? |
Open Invoice | Which invoices were unpaid as of a selected date? |
Deposit, store credit, and package reports | What customer value is still unused, applied, or redeemed? |
A different total does not always mean something is wrong. It may mean the reports use different date logic, grouping, or report purpose.
Why is a recent payment, invoice, or refund missing?
Smarter Reports update approximately every 20 minutes. Recent activity may not appear immediately.
Confirm the date range and filters, wait for the next update, and refresh the report. Contact MoeGo Support if the activity is still missing after multiple updates.
📝 Note: If you changed a Revenue Category, that change may also need time to appear in reports.
Why does Sales Summary not match Payment Summary?
Sales Summary focuses on what was sold. Payment Summary focuses on payments and refunds by transaction date.
For example, a customer may pay before or after the invoice is checked out. In that case, the sale and payment can appear in different date ranges.
Why does Cash Basis Sales not match Sales Summary?
Cash Basis Sales focuses on revenue based on when payment was received.
Sales Summary focuses on sales activity, such as checkout date and invoice detail.
These reports can differ when:
A customer pays before checkout
A customer pays after checkout
A refund happens in a later date range
A deposit is applied to an invoice
Revenue Categories are missing or changed
Why does Cash Basis Sales not match my bank payout?
Cash Basis Sales is not a payout reconciliation report.
Your bank payout can be affected by payment processor settlement timing, fees, refunds, chargebacks, adjustments, or payout schedules.
Use Cash Basis Sales to review cash-basis revenue. Use your payment processor and bank records when reconciling payouts.
What does Category not assigned mean?
This usually means an item in the report has not been assigned to a Revenue Category.
To fix this, review your Revenue Category setup and assign the item to the correct category.
💡 Tip: If you see many uncategorized rows, start by reviewing your most common services and products.
What is the difference between Payment Summary and Payment Transaction?
Payment Summary gives you totals.
Payment Transaction gives you the row-by-row details behind those totals.

Which report should I use for unpaid invoices?
Use the Open Invoice report.
Open Invoice helps you review invoices that were still unpaid as of a selected date. This is useful for customer follow-up and month-end accounts receivable review.
Which report should I use for deposits?
Use Deposit Audit Log when you need deposit activity history.
Use Unapplied Deposit when you need unused deposit balance as of a selected date.
Deposits should be reviewed separately from regular sales because they can be collected before the related service is completed.
Which report should I use for store credit or packages?
Use store credit reports to review credit issued, used, adjusted, or remaining, if available in your account.
Use package reports to review package redemption and remaining package balances, if available in your account.
Availability may vary during beta.
Can Smarter Reports replace my accounting software?
No. Smarter Reports help you review, understand, and export business reporting data.
They do not replace your accounting software, and they do not sync data to accounting software by themselves.
If your business uses accounting software, use Smarter Reports as a reporting reference and follow your accountant or bookkeeper's workflow.
I do not see a report mentioned in this article. What should I do?
Some reports may not be available in every beta account.
If you do not see a report:
Confirm Smarter Reports are enabled for your account.
Check your permission settings.
Contact MoeGo Support or your account manager with the business question you are trying to answer.
Why does a refunded invoice still appear as unpaid?
During alpha, an invoice refunded after checkout may require additional verification. Open the invoice and review its payment and refund history before contacting the customer about the balance. Contact MoeGo Support if the report balance does not match the invoice history.
