Smarter Reports can help you review both unpaid invoices and customer balances.
These are important for month-end review, customer follow-up, and bookkeeping, but they should not be treated the same as sales or payments.
What counts as a customer balance?
Customer balances are amounts or value that may still need to be used, applied, redeemed, or followed up on.
Balance type | What it means |
Unpaid invoice | A checked-out invoice still has an amount due |
Unapplied deposit | A customer paid a deposit that has not been fully applied yet |
Store credit | A customer has credit that can be used later |
Package balance | A customer has remaining package value or quantity |
⚠️ Important: Deposits, store credit, and package balances are not the same as new sales. They often represent value that the customer can use later.
Review unpaid invoices
Use the Open Invoice report to see invoices that were still unpaid as of a selected date.
This is useful when you need to:
Follow up with customers who still owe a balance
Review accounts receivable at month-end
Check whether a specific invoice was open on a past date
Understand unpaid balances by customer or invoice
📝 Note: Open Invoice is based on the date you select. If you choose a past date, the report should answer what was open as of that date, not only what is open today.
⚠️ Important: Before contacting a customer about an unpaid balance, open the invoice and review its payment and refund history. During alpha, an invoice that was refunded after checkout may require additional verification before collection follow-up.
Review deposit balances
Deposits are usually collected before a service is completed. Until the deposit is applied, refunded, or forfeited, it may still need to be tracked separately from regular sales.
Use deposit reports when you need to understand:
Deposits collected from customers
Deposits applied to invoices
Deposits refunded to customers
Deposits forfeited
Deposit balance still unused

Review store credit
Store credit is value issued to a customer that can be used later.
Use store credit reports, if available in your account, when you need to review:
Store credit issued
Store credit used
Store credit adjusted
Store credit refunded or removed, if supported
Remaining store credit balance

Review package balances
Package reports help you review package usage and remaining value.
Use package reports when you need to understand:
Which packages were redeemed
Which services or benefits were used
How much package value or quantity remains, if available
Which customers still have package balances

Common confusion
Confusion | How to think about it |
"Why is a deposit not counted like a sale?" | A deposit is collected before it is fully earned or applied. It needs separate tracking. |
"Why does Open Invoice not match sales?" | Open Invoice shows unpaid balances, not all sales. |
"Why does package remaining balance not match package sales?" | Package sales and package redemption are different events. |
