How store credit reports work

Review when store credit was issued or used, investigate individual changes, and understand why activity totals are not a customer's ending balance.

Store credit reports are part of Financial Reports. They show changes to credit that customers can use toward future purchases or visits.

Use them to review credit activity during a period or trace an individual change. They help answer what was issued or used, rather than how much new money your business collected.

Summary and activity reports

Both reports use Operation date, which is when the credit action happened.

The activity report was previously called Store credit audit log report.

The summary can group by Business name, Operation type, Operation date, Client name, Invoice ID, or Booking ID. It supports up to two grouping levels, so you can review a business's activity and then separate it by operation type.

Review store credit activity

  1. Open Store credit summary report: Find it in the Finance tab of your reports.

  2. Select the period you need: Use the dates when credit was issued, used, or otherwise changed.

  3. Choose a useful grouping: For example, group by Business name and Operation type to compare the kinds of activity at each location.

  4. Open Store credit activity report for individual records: Match the period you are reviewing, then use Client name, Operation type, Amount, and any invoice, booking, or note information to understand the change.

Activity is different from remaining credit

Suppose a daycare customer starts the month with $50 in credit. You issue another $30 and they use $20 during the month. The month's activity represents a $10 net increase; it is not the customer's $60 ending balance.

Store credit summary report summarizes movement during the selected period. It should not be presented as a report of all outstanding customer credit at month-end.

Likewise, using existing store credit does not necessarily mean your business received new money on that date. Review payment reports when you need to investigate money collected.

If a credit change is unclear

Check the operation date and type, then review the related customer, invoice, booking, and note information. If you still cannot explain an amount, contact MoeGo Support with those references and the selected reporting period.
