Mobile Grooming - Setting Up Smart Scheduling

Smart Scheduling helps you automatically find appointment times that are close to your existing bookings. This reduces driving time, improves route efficiency, and keeps your day organized.


🖥️ Set Up Smart Scheduling (Desktop)

Go to Settings > Smart Scheduling

Driving Rules

Driving rules define the maximum distance and/or time allowed between appointments and your start/end locations.

Click Add Driving Rules (top right) to create a rule.

Set the following:

  • Maximum driving distance: 1–60 miles

  • Maximum driving time: 5–120 minutes

  • Assign a specific van to this rule

  • Click Save

How Driving Rules Work

Smart Scheduling will suggest an available time slot if at least one of the following conditions is met:

  • Within maximum driving distance from the previous appointment

  • Within maximum driving time from the previous appointment

  • Within maximum driving distance to the next appointment

  • Within maximum driving time to the next appointment

This ensures new appointments stay reasonably close to existing ones.


Start & End Locations

Start and end locations define where your van begins and finishes the day.

Click Add Start and End Locations.

Set:

  • Start address

  • End address

  • Assign a specific van

  • Click Save

If you leave start or end blank, it defaults to “Any address.”

💡 Important:

  • If no start location is set, the first appointment can be scheduled anywhere within your service area.

  • In this case, driving time and distance from the “Any address” start location are treated as 0 miles / 0 minutes.

Hidden Logic (Important to Understand)

  • No start or end location: Any address can be scheduled.

  • Only start OR only end location set: The new appointment must meet the driving rule with that location.

  • No start/end location, but existing appointments that day: The new address must meet the driving rule relative to existing appointments.


Buffer Time

Buffer time adds flexibility between appointments.

Hover over the buffer time and click Edit.

Set a value between (+-) 0–60 minutes.
You can also override this per business location.

For Mobile Businesses

Smart Scheduling considers:

Driving Time + Buffer Time

Positive Buffer Example:

  • Last appointment ends at 11:00 AM

  • 15-minute buffer

  • 10-minute driving time
    → Suggested next start time: 11:25 AM

Negative Buffer Example:

  • Last appointment ends at 11:00 AM

  • -15-minute buffer

  • 10-minute driving time
    → Suggested next start time: 10:55 AM

Buffer time applies to both internal scheduling and online booking.

For Salon Businesses

Driving time is not considered.

Positive Buffer Example:

  • Last appointment ends at 11:00 AM

  • 15-minute buffer
    → Next start time: 11:15 AM

Negative Buffer Example:

  • Last appointment ends at 11:00 AM

  • -15-minute buffer
    → Next start time: 10:45 AM

Buffer settings apply to both internal scheduling and online booking.


Certain Area for Certain Days

Turn on “Certain Area for Certain Days” to restrict scheduling by assigned staff areas on selected days.

  • When ON: Smart Scheduling respects staff area assignments.

  • When OFF: Area assignments are ignored.

📱 Set Up Smart Scheduling (App)

Go to Settings > Smart Scheduling

Add Driving Rules

Tap + Add Driving Rules

  • Set maximum driving distance

  • Set maximum driving time

  • Assign a van using + Add Van

  • Tap Save

Add Start & End Locations

Tap + Add Start and End Location

  • Select start/end location from the list

  • Or tap search (top right) to enter an address

  • If left empty, defaults to Any address

  • Assign van

  • Tap Save

Buffer Time (App)

Tap the existing buffer time.
Adjust using + / - (0–60 minutes).

Certain Area for Certain Days

Toggle ON to enforce area restrictions for selected staff and days.


FAQ

How do Driving Rules affect Smart Scheduling?

  • Driving rules define the maximum distance OR time allowed between appointments.

  • Example:

  • If your rule is 10 miles, 15 minutes, Smart Scheduling will suggest time slots that are either:

    • Within 10 miles
      OR

    • Within 15 minutes

  • From the previous appointment or to the next appointment.

What is the Start Location?

  • Your start location is where your van begins the day (e.g., your home or parking location).

  • If the day is fully open, Smart Scheduling will suggest the first appointment based on the driving rule between the new address and the start location.

  • If left empty:
    The system will not consider distance/time from a start location and will suggest all available first time slots.

What is the End Location?

  • Your end location is where your van finishes the day.

  • If set, Smart Scheduling may still suggest a time slot even if it is far from the previous appointment — as long as it is close to your end location.

  • Example:

    • 25 minutes from last appointment

    • 5 minutes from end location
      → Time slot may still be recommended.

  • If left empty:
    Distance/time to an end location will not be considered.

What happens if I leave Start and End empty?

  • If there are no appointments that day: Any address can be scheduled.

  • If there is at least one existing appointment: The new address must meet the driving rule relative to the existing appointment.
