Mobile Grooming - How to use Smart Scheduling

Smart Scheduling recommends the best appointment slots based on your driving rules, start/end locations, buffer time, and staff availability.

Below is a step-by-step guide on how to use Smart Scheduling inside the system.

🚐 Smart Scheduling for Mobile Grooming

πŸ–₯️ Desktop:

Booking for New Clients (No Profile Created Yet)

If the client does not yet have a profile:

  1. Go to your Calendar

  2. Click the Smart Scheduling button under the left-side calendar picker

This opens the Smart Scheduling search window.

Set Your Search Criteria

1️⃣ Mobile Grooming Toggle

Make sure Mobile Grooming is turned ON.
If it is turned off, driving time and distance will not be considered.

2️⃣ Address

Enter the service address and select it from the dropdown list.

3️⃣ Estimated Service Duration

Use the slider to adjust the estimated service time.

This ensures the recommended slot:

  • Fits the service duration

  • Includes buffer time

  • Accounts for driving time before and after the appointment

Example:
If service duration is 1 hour, the system ensures enough time between appointments including driving + buffer.

4️⃣ Staff Selection

  • Select at least one staff

  • You may select multiple staff to widen search results

  • The assigned van will display under the staff name

  • Staff without a van assignment will appear greyed out and cannot be selected

5️⃣ Search From Date

Select the starting date to narrow your search results.

Start Searching

  • Click Search

  • Use the orange ← / β†’ arrows to view earlier or later recommended slots

  • Click Edit Details to adjust search settings

  • Click Add Client and Book to enter client details and proceed with booking

  • Click Exit Smart Scheduling (top right) to leave this mode

Understanding the Calendar View

On the left-side calendar picker:

  • 2 orange dots β†’ Plenty of available slots

  • 1 orange + 1 grey dot β†’ Limited availability

  • 2 grey dots β†’ No recommended slots

If multiple staff are selected, you’ll also see available slots by staff.

On the calendar itself:

  • Driving time and distance before/after the appointment are shown

  • Buffer time is automatically included

Example:

  • Last appointment ends at 10:00 AM

  • Buffer: 10 minutes

  • Driving time: 25 minutes
    β†’ Recommended start time: 10:35 AM


Booking for Existing Clients (Desktop)

For existing clients, follow the regular appointment flow first.

  1. Click Create > Create New Appointment

  2. Select client

  3. Select pet and service

  4. Click Advanced Edit

On the edit page:

  • Click Smart Scheduling (top right, next to date/time)

In the Smart Scheduling pop-up:

  • Staff and search start date can be edited

  • Service duration and address are auto-filled based on the selected service and client profile

Click Search

You will enter Smart Scheduling mode to:

  • Browse recommended slots

  • Navigate the calendar

After selecting a slot:

  1. Click Save

  2. Review details on the edit page

  3. Click Book Now to finalize


πŸ’‡ Smart Scheduling for Salon Businesses (Desktop Only)

For grooming salons:

  • Smart Scheduling is available on desktop only

  • Driving time is NOT considered

  • Recommendations are based on:

    • Estimated service time

    • Staff availability

    • Search-from date

    • Buffer time (Settings > Smart Scheduling)

The system recommends the earliest available slot after your selected start date.

Booking for New Clients (App)

  1. Tap the βž• at the top of your calendar

  2. Tap Smart Scheduling

  3. Enter or select address

  4. Set estimated service time β†’ Tap Check Availability

  5. Select staff and start date

  6. (Optional) Adjust buffer time for this search
    ​(Buffer is adjustable on app only for that specific search)

Tap Start Smart Scheduling

  • Use ← / β†’ arrows to browse recommended slots

  • Drag the appointment on the calendar to adjust time if needed

  • View the map to see staff service area for that day

After selecting a slot:

  1. Tap Next

  2. Add client and pet details

  3. Tap Save

  4. Tap Add to confirm appointment

Booking for Existing Clients (App)

  1. Tap New Appointment

  2. Complete appointment details

  3. Tap Add Service Start Time

  4. Select Smart Scheduling

  5. Set staff and start date

  6. Tap Start Smart Scheduling

  7. Choose a slot β†’ Tap Next

  8. Tap Add to confirm


Using Smart Scheduling to Reschedule

  1. Click the appointment

  2. Open the appointment drawer

  3. Click the three dots (top right)

  4. Select Advanced Edit

  5. Click Smart Scheduling

  6. Choose a recommended slot

  7. Click Save

  8. Save again on edit page

  1. Open the appointment

  2. Tap Reschedule

  3. Select Smart Scheduling

  4. Set:

    • Staff

    • Start date

    • Customer preferences

  5. Tap Start Smart Scheduling

  6. Browse suggested slots using arrows

  7. Tap Next

  8. Tap Save


Smart Scheduling for Online Booking

πŸ’‘ Available on desktop only

To enable:

  1. Go to Online Booking > Settings > Mobile Grooming

  2. Turn ON the Smart Scheduling toggle

When enabled:
Clients can only book appointments that meet:

  • Driving rules

  • Start/end location requirements

  • Buffer time settings

This ensures online bookings follow the same optimized routing logic as internal scheduling.
