Mobile Grooming - Setting up the van and Staff Assignment

For mobile grooming businesses, setting up your vans is an essential step after configuring your business settings.

The Mobile Van feature allows you to:

  • Assign working staff to each van

  • Configure smart scheduling rules

  • Set start and end locations

  • Optimize routes and reduce driving time

The rules applied to each van help the system calculate travel time and distance, ensuring efficient scheduling for assigned staff.


How to Set up Van

🖥️ Desktop

Navigate to:

Settings > Mobile Vans

From here, you can:

  • Edit an existing van

  • Add a new van

Click Edit to modify an existing van.
Click Add New Van (top right corner) to create a new one.

Van Information

Under the Info section, enter:

  • Van Nickname (Required)

  • License plate

  • Make

  • Model

  • Date in service

  • Notes (optional)

You can save after entering the nickname and return later to complete additional settings, or continue to configure staff and smart scheduling.


Assign Staff to a Van

Go to the Staff section to assign groomers or drivers.

Click Assign Staff and select from the dropdown list.

Important Rules:

  • Each van can have a maximum of 2 assigned staff members

  • Assigned staff gain access to:

    • Map view

    • Smart scheduling

    • Route optimization

    • Mobile grooming features

Staff Rotation Clarification

Currently, there is no automatic van rotation feature.

If staff rotate shifts (for example:

  • Groomers A & B use Van 1 on Monday/Wednesday/Friday

  • Groomers C & D use Van 1 on Tuesday/Thursday/Saturday)

You do not need to update van assignments daily. Why?
Appointments and map view are displayed based on staff, not van assignment.

You can keep:

  • A & B assigned to Van 1

  • C & D assigned to Van 2

This ensures all staff retain access to mobile grooming tools.

Need More Than 2 Staff on One Van?

If multiple groomers share one van across different days and need access to map view:

Please contact Support.

We can provide a workaround to add additional staff beyond the 2-staff limit if:

  • You have a limited number of vans

  • Multiple staff need mobile access


Smart Scheduling for Vans

Click Smart Scheduling in the right-side menu.

Here you can configure:

  • Driving rules

  • Start and end locations

For existing vans, you can also click View Assign History to see:

  • Staff assignment changes

  • Date and time of assignment updates

Driving Rules

Driving rules allow you to set:

  • Maximum driving distance

  • Maximum driving time

This helps:

  • Reduce transportation costs

  • Improve route efficiency

  • Prevent overbooking distant appointments

You can:

  • Select an existing rule from the dropdown

  • Or create a new rule

Start and End Location

You can configure:

  • Starting location

  • Ending location

The system uses these locations to:

  • Calculate driving distance and time

  • Recommend suitable time slots

  • Ensure appointments comply with your driving rules

This ensures that appointments scheduled throughout the day align with your routing logic.

After configuring smart scheduling, click Save.


How to Set Up a Van (App)

📱 App

Go to:

Settings > Basic Settings > Mobile Van

You can:

  • View existing vans

  • Tap New Van to create one

Enter:

  • Nickname (required)

  • License plate and other optional details

Assign Staff (App)

Under Assigned Staff:

  • View staff with assigned vans

  • See staff marked as “No Van Assigned”

  • Select up to 2 staff

  • Tap Apply to save

Driving Rules (App)

Under Smart Scheduling:

  • Tap Driving Rules

  • Select an existing rule or create a new one

Start & End Location (App)

Under Smart Scheduling:

  • Tap Start and End Location

  • Select or create locations to apply

You may also add notes as needed.

Once setup is complete, tap Save to apply your changes.
