The Open invoice report is part of Financial Reports. It shows invoices with money still owed as of the date you select. Use it for month-end review or to investigate an outstanding invoice before following up with a customer.

What the report shows

Each row represents an invoice with an unpaid balance at the selected date. The report includes the invoice, customer, business, checkout date, expected amount, collected amount, and Net invoice balance.

Information

What it helps you understand

Invoice ID and Client

Which invoice and customer the balance belongs to

Total expected

The amount expected on the invoice

Total collected

The amount recorded as collected toward the invoice

Net invoice balance

The amount still owed

As of means the balance at one point in time. It is different from a report that adds up activity during a date range.

For example, a boarding invoice has $120 outstanding on October 31, and the customer pays on November 2. Reviewing October 31 should reflect the earlier unpaid balance, even though the invoice is paid today.

Review an unpaid balance

  1. Open the report: Select Open invoice report in the Finance tab of your reports.

  2. Select the business: Use the location you want to review.

  3. Select the as-of date: Choose the date relevant to your review, such as month-end.

  4. Review the invoice rows: Use the customer and invoice references to identify the balance you need to investigate.

  5. Check the current invoice before contacting the customer: Review its payment and refund history so you do not request an amount that has already been paid or adjusted.

Unpaid invoices and appointments without invoices

These are different situations:

Situation

What it means

An invoice exists and has an unpaid balance

Use Open invoice to review the balance at your selected date.

An appointment was checked out using Checkout Only, but no invoice was created

It is not an unpaid invoice yet. Review the appointment's billing details.

Creating an invoice and receiving payment are separate steps. An invoice can exist before the customer pays it.

If a paid invoice still appears

First check whether you selected a date before the payment. Then review the report's update information and the invoice's payment history. If the balance remains unexplained, contact MoeGo Support with the report name, selected date, business, and invoice reference.

Open invoice is not a list of all sales or a report of deposits, store credit, or unused packages. Those amounts answer different questions.
