📝 Note: Memberships are available only to businesses using Smarter Invoice.

A Membership plan controls what the client pays, when the subscription renews, which benefits become available, and where the plan can be purchased or used.

Use this guide to create a plan in Business Web and configure its billing, benefits, eligibility, and client-facing terms.

Currently, Memberships can be created and managed on the web (desktop) version only.

Prerequisites

Before creating a plan, confirm:

  • Your business uses the Ultimate+ plan and Smarter Invoice.

  • MoeGo Pay is set up.

  • You have permission to manage Membership plans.

  • You know the recurring price, schedule, benefits, sale locations, and client terms you want to offer.

Create a Membership plan

  1. Open Memberships: Go to Loyalty > Memberships in Business Web.

  2. Click Add Membership: Open the new plan form.

  3. Enter the basic information: Add the plan name and customer-facing description.

  4. Select the locations: Choose where the plan can be sold.

  5. Set the status: Select Active when the plan is ready for purchase, or Inactive while you finish preparing it.

  6. Choose the purchase channels: Enable Purchase via Online Booking if clients should be able to find and purchase the plan online.

Configure recurring billing

  1. Select the billing cycle: Choose how often the client is charged.

  2. Enter the cycle price: Set the recurring amount for each billing cycle.

  3. Choose the billing schedule: Use the date of sale or a supported fixed day and time.

  4. Select the tax setting: Apply the appropriate tax treatment for the plan.

Date of Sale

Billing renews based on the date and time the membership is sold.

  • Example: Sold on Feb 2 at 11:00 AM

    • Bi-weekly: renews every other Monday

    • Monthly: renews on the 2nd of each month

Fixed billing schedule

The plan renews on the configured day and time. When staff schedule a future start, they can select only dates that match the plan's billing rule.

  • Example: If you choose a weekly billing cycle, you can schedule the membership to renew every Monday at 9:30 AM.

⚠️ Important: After a plan has a subscriber, its billing cycle and billing schedule cannot be changed.

Add Membership benefits

You can include pricing benefits, service credits, or both.

Pricing Benefits (Discounts)

Use a pricing benefit to give an eligible discount on configured services, add-ons, products, or packages.

  1. Select the eligible items: Choose what the benefit can discount.

  2. Choose the discount type: Select a percentage or fixed amount.

  3. Enter the benefit value: Set the amount the client receives during the benefit period.

Service Credit Benefits (Complimentary Services)

Use service credits to include a configured quantity of eligible services during each benefit period.

  1. Select the eligible service: Choose the service included in the plan.

  2. Set the quantity: Enter the number of credits released during each period, or select Unlimited when appropriate.

  3. Review the service price: Confirm the value is correct before saving the plan.

Benefit Expiration Rules

Control how benefits expire and reset.

Option

What happens

Example

On renewal

Unused benefits expire when the next benefit period begins.

  • A monthly membership starting Feb 1

  • Benefits for Feb 1–Feb 28 expire on Mar 1

After a set number of days

Each issued benefit remains available for the configured number of days, even when a newer billing period has begun.

  • Weekly membership

  • Benefit validity set to 1 month

  • Membership purchased on Feb 2

  • Benefits from each weekly cycle expire one month after they begin

Benefits Configuration

Configure where benefits can be used

  • Enabled: Benefits can only be used at the location where the membership was purchased

  • Disabled: Benefits can be used across all business locations

Configure purchase eligibility

Use Only show applicable membership during purchase when the plan should appear only for matching pets, services, or add-ons.

The current purchase flow can show a plan when at least one selected pet has an applicable target service or add-on. Missing or mismatched pet information can hide the plan. Breed matching uses the configured breed, and weight eligibility includes the configured boundary after MoeGo resolves the pet's rounded weight and size.

💡 Tip: Keep client and pet profiles complete before troubleshooting a missing plan. Do not remove a real eligibility rule only to make the plan appear.

Configure Store Credit transfer

Choose how unused service credits can be converted to Store Credit:

Transfer rule

What staff can do

Not allowed

Service credits cannot be converted to Store Credit.

Custom amount

Staff can choose the eligible quantity and enter the Store Credit amount.

Preset value

Staff can convert selected service credits at the configured value per credit. The value and sales tax are locked during transfer.

📝 Note: A transfer-rule change begins with the next billing cycle. Benefits already issued keep the rule that applied when they were granted.

The following limits apply:

  • Unlimited benefits cannot be converted to Store Credit.

  • Preset-value transfer currently requires a single-price Membership.

  • Checkout can label a credit Expired without blocking the transfer. Review the credit before converting it.

Choose when benefits become available (Beta)

Select when MoeGo releases benefits for each billing period:

Option

What happens

After payment succeeds

MoeGo releases the benefits after the recurring payment succeeds. This is the current default.

After payment is initiated

MoeGo can release the benefits when the payment begins, before its final result is confirmed.

Choose the option that matches how your business wants to handle benefit access while a payment is still processing.

This function is currently on beta, please contact your account manager for access.

Add the Terms & Policy

Define the terms and policies associated with the membership, such as:

  • Cancellation rules

  • Refund policies

  • Usage limitations

These terms are shown to clients during purchase.

Save and Start Selling

Once all details are set:

  1. Click Save

  2. Start selling it to your clients—online or in-store

Limitations

  • Business App cannot create or edit New Membership plans.

  • Plans cannot be manually arranged into a custom display order.

  • After a plan has subscribers, supported price, tax, and benefit changes begin with the next billing cycle.

  • Making a plan Inactive prevents new purchases but does not stop existing subscriptions.
