The Online Booking Portal is a powerful tool designed to streamline your mobile grooming operations.
With features like Smart Scheduling, service area validation, and area-by-day controls, you can:
Automatically verify whether clients are within your service area
Optimize routes for efficiency
Assign specific areas to specific days
Manage multi-van or multi-staff operations more effectively
Note: Online Booking Settings are only available on the desktop version.
How to Set Up Mobile Grooming
Go to:
Desktop → Online Booking → Settings → Mobile Grooming
Here, you can configure:
Address requirement
Service area restrictions
Smart Scheduling
Certain areas for certain days
Enable Address Requirement
Turn on Require Address.
When enabled:
Clients must enter their address before booking
The system validates the address against your configured service areas
Only clients within approved areas can submit booking requests (based on your settings)
This ensures you only receive requests from locations you serve.
Service Area Setup
You can limit your Online Booking site to specific pre-configured service areas.
To create or manage service areas:
Settings → Business → Service Area
To enable service areas for online booking:
Click Add Service Area
Select the service areas you want to allow
Or select All Service Areas to include all configured regions
If a Client’s Address Is Outside Your Service Area
You have flexible options for handling out-of-area requests.
Option 1: Allow Out-of-Area Requests (No Date/Time Selection)
Enable:
Allow all clients to submit request without date and time
This allows out-of-area clients to submit a request form without choosing a time slot.
You can then follow up via phone or text to discuss scheduling manually.
Option 2: Allow Existing Clients to Book with Date & Time
Enable:
Allow existing clients to submit request with date and time
With this setting:
Existing clients can book normally, even if their address is outside your service area
New clients outside your service area cannot book
Important: Even if existing clients are allowed to book, available time slots are still subject to Smart Scheduling rules.
If no time slots meet your maximum driving time or distance rules, no availability will be displayed.
Smart Scheduling
Smart Scheduling helps improve route efficiency by recommending appointment times that are geographically optimized.
Click the Smart Scheduling setup guide to configure your rules.
When Smart Scheduling is enabled:
Clients can only see time slots that meet your configured parameters, such as:
Maximum driving distance/time from last appointments
Maximum driving distance/time to the next appointments
Distance/time from start location
Distance/time to end location
If at least one routing parameter meets your maximum limit, the system will recommend the time slot.
If Smart Scheduling Is Disabled
If you turn off Smart Scheduling for online booking:
Clients will see general availability
Route optimization rules will not apply
This may increase driving time between appointments
For mobile grooming businesses, it is strongly recommended to keep Smart Scheduling enabled to maintain operational efficiency.
Certain Areas for Certain Days
This feature allows you to restrict availability by geographic area and date.
Enable:
Certain Areas for Certain Days
This ensures that clients only see availability for dates when a staff member is assigned to serve their area.
Example:
Staff A is assigned to Area X and Area Y on Monday, Wednesday, and Friday.
A client in Area X will only see availability for those three days for Staff A.
Specific time slots still depend on Smart Scheduling calculations.
This feature is especially useful for:
Multi-van operations
Staff territory planning
Route clustering strategies
FAQ
Why is my client seeing no availability over the next 2 months, even though I have open slots?
This is usually caused by one of the following:
1. Smart Scheduling Restrictions
The client’s address does not meet your configured routing parameters.
The system only recommends a time slot if the address satisfies at least one of the following:
Maximum driving time from last appointment
Maximum driving distance from last appointment
Maximum driving time to next appointment
Maximum driving distance to next appointment
Start or end location distance/time limits
If none of these conditions are met, no time slots will be shown.
Review your Smart Scheduling settings to confirm your maximum driving limits.
2. Area Assignment Restrictions
The staff may be assigned to specific areas on specific days, and the client’s address may not fall within the permitted area for those dates.
