Auto-Assignment helps you streamline online booking requests when clients do not select a specific staff member or time slot.
Instead of leaving these requests incomplete, the system intelligently assigns the next available staff member and time based on your availability settings.
This ensures booking requests move forward efficiently while still allowing you to review and confirm the final details before approval.
Understanding Auto-Assignment
When you use Date Only booking or disable Staff Selection under:
Online Booking > Settings > Availability
Clients can submit booking requests without selecting a specific staff member or exact time slot.
In these cases, the system will:
Automatically assign the next available time slot
Automatically assign an available staff member
Mark the booking as a Pending Request
You can then review and confirm the assignment before finalizing the appointment.
How Auto-Assignment Works by Booking Setting
1. Date Only with Staff Selection Enabled
If clients select a groomer but only choose a date (not a specific time):
The system will assign the earliest available time slot for the selected groomer.
Mobile Grooming Note:
If the client is outside your service area and you allow submissions without date, time, or staff selection:
No date will be auto-assigned.
You will need to manually assign the appointment details.
2. Specific Time Without Staff Selection
If clients choose a specific time but do not select a staff member:
The system will first attempt to assign the client’s preferred groomer.
If the preferred groomer is unavailable at that time:
The system assigns the booking based on the display order of the staff list.
3. Date Only Without Staff Selection
If clients select only a date (no staff, no specific time):
The system first attempts to assign the booking to the client’s preferred groomer at their earliest available time.
If the preferred groomer is unavailable:
The system assigns the next available groomer who meets the service criteria, following the staff list order.
Identifying Auto-Assigned Appointments
In your Calendar View or Appointment List, look for the auto-assignment icon.
This icon indicates that the time slot and/or staff member was automatically assigned by the system and may require review.
Reviewing and Modifying Assignments
Go to the Pending Requests list.
Click Schedule to review the auto-assigned appointment.
A banner will indicate which details were auto-assigned.
Before confirming, you can modify:
Appointment date and time
Staff member
Any other appointment details
This ensures the booking aligns with your business availability and client preferences.
Confirming the Appointment
Once you review and adjust the details:
Click Confirm to finalize the booking.
The assigned time slot and staff member will be locked in.
Client Notifications
Before accepting booking request:
Automatic notifications (Request Submitted) sent to the client will not include the auto-assigned staff or time details.
After accepting booking request:
Notifications (Request Accepted) will update to include the finalized appointment details, such as:
Assigned staff member
Confirmed appointment date and time
