App - Set up and Manage Staff Profile

Once a staff profile is created, you can update it at any time using either the web version or the mobile app. You can make changes before sending an invitation or after the staff member has joined your business.

Staff Member List

Navigate to Settings > Staff > Staff Members to manage your team.

From this page, you can:

  • Tap the “+” button to create a new staff profile

  • Tap a staff member to view or edit their profile

Note:
Sorting staff is not available in the mobile app. To reorder your staff list, please use the desktop (web) version.


Staff Profile Details

Basic Information (Required)

The following fields are required when creating a new staff profile:

First & Last Name

The staff member’s name appears on:

  • Your calendar

  • Online Booking

Clients will see this name when selecting a staff member during booking.

Role

Assign a role to define what permissions the staff member has in your account.
Tap Check Permissions to review what access each role includes.

Hire Date

Defaults to today’s date when creating a profile, but can be edited if needed.


Control Settings

Within the staff profile, go to the General section and tap Control to manage:

  • Calendar access

  • Whether the staff member appears on the calendar

  • Login access and invitation

  • Clock in / out access code

Calendar access

Tap staff names to select whose calendars this staff member can view.
Tap All current and future staff to grant access to all calendars within the business.

Show on Calendar

Controls whether this staff member is visible on the calendar and available for appointment assignments.

You may turn this off for staff who do not take appointments, such as admin or front desk staff.

Important:
If the staff member has upcoming appointments and you turn off Show on Calendar, you’ll see a notification indicating that appointments must be transferred first.

👉 Please switch to the web version to transfer upcoming appointments before removing a staff member from the calendar.

Login account

Controls the email address the staff member uses to log in.

You can:

  • Enter the staff member’s email and send an invitation, or

  • Copy the invitation link and share it directly (only available on app version)

Once the invitation is accepted, the staff member can log in and access your MoeGo account.

Clock in/out

Require access code
Requires staff to enter a code when clocking in or out.

This is helpful when:

  • Multiple staff share a device

  • Staff clock in/out from a front desk computer

Staff can use the code on:

  • Their own mobile device

  • A shared desktop device

Staff Shift Management

The staff's recurring work hours and date overrides can be set up here.

Set up recurring work hours and date-specific overrides for each staff member.

Regular Time

  • Define regular working hours

  • Choose a repeat schedule (weekly, every 2, 3, or 4 weeks)

Date Overrides

  • Override the regular schedule for a specific date

  • Example: A staff member normally does not work Tuesdays, but you can override the schedule to make them available on Tuesday, 2/10

Notifications

You can control which notifications each staff member receives in their Notification Center.

  • Notification types include:

    • Appointment created, updated, or canceled

    • New booking or abandoned booking requests

    • Intake form submitted

    • Agreement signed

    • Invoice paid

    • Review submitted

    • Card on file added

    • Task assigned

    For each notification type, choose one option:

    • Related to them
      Staff are notified only when the appointment or client is assigned to them

    • At working business
      Staff are notified of all related activity at their assigned location

    • Do not notify
      Staff will not receive notifications for this event

Mobile Business (Van Assignment)

For mobile grooming businesses, you’ll see a Mobile Van section.

From here, you can:

  • View which van the staff member is assigned to

  • Tap the van to manage details

  • Add or remove staff from the van

Notes

Add internal notes about the staff member in this section.

Notes are visible to staff who have permission to access staff profiles.

Transfer upcoming appointments and Delete Staff

Transfer Upcoming Appointments

  • Tap Transfer Upcoming Appointments to move all future appointments (starting today) to another staff member.

Delete Staff

  • Tap Delete Staff to permanently remove the staff profile.

  • If the staff member has upcoming appointments, you must transfer them before deletion.

Once a staff profile is deleted:

  • Staff access is removed immediately

  • The staff member no longer appears on the calendar

  • Historical data remains available in reports
