Our clock-in/out feature is designed to help you and your team monitor daily working hours.
Setting up the clock in/out feature
Enabling the clock in/out feature will allow staff to clock in and out. This will record their work hours directly within the platform
🖥️ Web version:
Navigate to Settings > Staff > Clock in/out
Toggle on Enable clock in/out
If you would like to set up access codes for staff members:
Navigate to Settings > Staff > click the staff member's profile
Check the box to Require access code
Input an access code or click Generate to create a code that this staff member will use to clock in/out
📱Mobile App:
Navigate to Settings > Staff > Clock in/out
Toggle Enable Clock in/out
Owners can toggle on the Staff clock in/out notification
If toggled on, this sends a notification to the owner whenever staff members clock in/out
How staff members clock in and out
🖥️ Web version:
Staff members can navigate to the clock icon at the top of their calendar view
Select the name from the menu and type in the access code to clock in/out
📱Mobile App:
Open the lefthand navigation menu
Tap Clock in/out
Type in access code if applicable and tap clock in/out
Clock in/out records
The clock in/out record allows you to view records for all staff, filter by specific staff members, and make adjustments as needed, including adding or deleting records.
🖥️ Web version:
Navigate to Settings > Staff > Clock in/out
Adding a record
Click Add new
Select the staff member from the list
Select date
Enter in their clock in and out times
Click Add
Deleting a record
Click the three dots next to the record in question
Click Delete
Please note, this cannot be reversed once deleted
Editing a record
Click the three dots next to the record in question
Click Edit
Adjust the clock in and out time as needed
Click Save
📱Mobile App:
Navigate to Settings > Staff > Clock in/out > Clock in/out record
Select the staff member that you want to view or All staff in the top right as needed
Adding a record
Tap the orange + sign in the bottom right
Fill in staff member, date, clock in and out time
Tap Save
Deleting a record
Tap the record that you would like to delete
Tap Delete this record
Please note, this cannot be reversed once deleted
Editing a record
Tap the record that you would like to Edit
Tap the clock in and out times and edit as needed by selecting the new time
Tap OK
Tap Save
FAQs
Can staff members clock in and out on a shared device?
Yes, if you have a shared device (like a main computer), we recommend setting up the access codes for each staff member so they can clock in and out on the same device. We also recommend creating a new staff role to log in with on a shared computer with limited permissions.
My staff doesn't see the option to clock in/out but I set up an access code?
Please make sure under the staff member's assigned role, they have permission to clock in and out. For more information on setting up staff roles, visit: Managing Staff Roles and Permissions.
Can staff members manage their own clock in/out records?
This is a permission that you can enable/disable per each staff role under Settings > Staff > Role settings. For more information on setting up staff roles, visit: Managing Staff Roles and Permissions.
What is the difference between the clock in/out record and the payroll report? Why are they different?
The Payroll report shows total working hours across a set period of time. The Clock in/out record shows each clock in/out instance.
💡Please note: The Daily clock hours column in the Payroll report will be the decimal conversion of the total hours worked.
For example:
The 0.75 decimal portion reflects part of an hour. To convert the decimal (0.75) to minutes, multiply this decimal by 60 (the number of minutes in an hour). 0.75 hours x 60 minutes = approximately 45 minutes. For 11/17/2024, this staff member worked 6 hours and 45 minutes.
