Shift management allows you to set up your staff's working hours to keep track of when they're available and manage scheduling more efficiently. It also helps accommodate various schedule types and scenarios.

Setting up staff shift management

🖥️ Web version:

  • Navigate to Settings > Staff > Shift management

  • If setting up recurring working hours, switch to List view in the top right. This view allows you to set up regular working hours and service areas on a rotating frequency, if applicable

    • To add working hours" Click + icon next to the day of the week that you want to add in working hours. You can add in multiple time frames in one day, like to accommodate a lunch break

    • To remove working hours, click on the trash can icon next to the time frame

    • To remove working hours for a whole day, deselect the box next to the day of the week that staff won't be working

    • Select the service area that the staff member will be in that day (if applicable), or keep it at Any area.

    • Set up a rotating frequency if applicable - this allows different availability on a rotating basis (every week, every two weeks, etc.)

  • To see a monthly view of all staff member shifts and hours and put in date overrides, switch to the Calendar view.

📱Mobile App:

  • Navigate to Settings > Staff > Staff member profile whose schedule you want to update > Staff shift management:

  • Tap Regular time to update the recurring working hours for this staff member

  • Tap Date override to add in date overrides

💡Please note: If you set up a rotating frequency for a staff's schedule (every x number of weeks), the schedule starts immediately on the first week. For example, if you set up a staff member's schedule to rotate every 3 weeks and you do this on a Thursday, the schedule will start on Week 1's Thursday schedule.

Date overrides

If there is an exception in a staff's regular working hours, you can create date overrides to indicate the exception(s) in their schedule. This will only apply to the specific dates you set, so there will not be a disruption to the rest of the staff's regular schedule.

🖥️ Web version:

  • Navigate to Settings > Staff > Shift management

  • In the Calendar view:

    • Locate the date on the calendar that you're adding the override to

    • Click + to add in the working time for the date override (or remove the time if staff is not working that day)

    • Select service area if applicable

    • Click +Add date(s) if this override applies to multiple days

    • Click Save

  • In the List view

    • Navigate to the bottom of this page and click +Add date override

    • Select date(s) for the override

    • Update working times that will apply to all selected dates

    • Select service area if applicable

    • Click Save

📱Mobile App:

  • Navigate to Settings > Staff > Staff members > click on the staff member's name > Staff shift management > Date override

  • Tap +Add date override

  • Tap on date(s) for date override and tap Set working hours

  • Use the + sign to add in working hours for selected dates

  • Tap Apply to save

💡Please note: Currently the mobile app only supports adding in dates/times for the override, but not service area. The service area can be changed through the web version of MoeGo.

Syncing Online Booking Availability

If your Online Booking availability type is set to By working hours (not By slot), you can enable Staff Shift Sync so that the hours listed under Staff Shift Management match when a staff member is showing as available for Online Booking.

💡Please note: This can only be set up via the web version of MoeGo.

To set this up:

  • Navigate to Online booking > Settings > Availability

  • Ensure Availability type is set to By working hours

  • Toggle on Staff Shift Sync

Doing this reduces the need to juggle two different schedules if their working hours align with when they're available for online booking.

FAQs

What is the difference between the online booking availability and the Staff Shift Management hours?

Online booking availability is separate from the working hours set under Staff Shift Management. The Online booking availability dictates the available hours that clients see on their end, which may differ from the hours that your staff works. If these are the same hours (i.e. clients can book appointments within the entirety of a staff's working hours, you can set up staff shift sync).

Why was a client able to request an appointment outside of my staff's working hours?

If a client was able to request an appointment outside of a staff's working hours, please double-check what their Online booking availability is listed as, as it may not be synced up to the hours under Staff Shift Management.

Can I set up staff shift sync if I have By slot availability?

No, currently Staff Shift Sync cannot be enabled for By Slot availability, only By working hours. For more information on setting up Online booking, visit: [INSERT LINK]

How can I sync up staff members' rotating frequencies?

At this time, there's no way to sync up rotating frequencies if you have one staff member who is on Week 2 of their schedule and someone who is on Week 1. The best way to do this would be to redo the availability of both staff members by deleting and re-adding it so that they're aligned on the same Week.

How does staff availability show up on the main calendar?

Staff working hours will be shown in a solid light gray on the calendar and their non-working hours will be shown in a darker gray with a pattern on both the mobile app and web version.
