Choosing how you take card payments in MoeGo

The two ways to take card payments with MoeGo, how to record payments taken elsewhere, and what changes when charges happen outside the system.

Taking payments outside MoeGo

You can charge a client through another system and record the payment in MoeGo so your books stay complete. The charge happens there; the record lives here.

How to record it

  1. Charge the client in your other system

  2. In MoeGo, open the appointment or invoice

  3. Mark it as paid using a custom payment method — for example cash, other, or a method you've named yourself

📝 Note: Payments processed outside MoeGo do not sync automatically. Nothing appears in MoeGo until you record it, so this step has to happen every time or your reports will under-count.

What changes when charges happen elsewhere

These features rely on MoeGo processing the payment, so they're unavailable for charges taken outside the system:

  • Card on file — no stored card, so every checkout starts from scratch

  • Pre-authorization — no hold before the appointment, so a last-minute cancellation can't be recovered against

  • Deposits and prepayment at online booking — clients can't pay when they book

  • Automatic reconciliation — MoeGo has a payment amount but no transaction detail behind it, so your MoeGo totals and your other system have to be matched by hand

Refunds, disputes, and chargebacks also stay in the system that processed the charge. MoeGo can't refund a payment it didn't take, and a disputed charge is handled entirely by your other provider.

Can I connect my existing card system to MoeGo?

No — outside card systems don't integrate with MoeGo. Charges taken elsewhere have to be recorded manually as described above.


Which should I choose?

If you want your payments, appointments, and reporting to work as one system — and you want access to card on file, deposits, pre-authorization, and dispute support — use MoeGo Pay.

If you record payments manually, MoeGo still tracks what you were paid. You'll just be maintaining two systems and reconciling them yourself.
