How to manage vaccine records on a pet profile

This guide provides an overview of key features and steps to streamline vaccination management.

The Vaccine tab in a pet's profile is where you record and track individual vaccination history. Vaccine status also controls alerts that appear on appointments and booking β€” so keeping records up to date directly affects your day-to-day scheduling. It also ensures you keep compliance with vaccination requirements.

Add a vaccine record

  1. Open the client's profile and click the pet's card to open their profile.

  2. Click the Vaccine tab.

  3. Click + Add vaccine.

  4. Select the vaccine type from the dropdown. Vaccine types are configured in Settings.

  5. Enter the vaccination date and expiration date.

  6. Upload a document (optional) β€” attach a photo or PDF of the vaccination certificate.

  7. Click Save.

πŸ“ Note: The vaccine type options in the dropdown come from your Settings > Customers & Pets > Pet Vaccines configuration. If a vaccine type is missing, add it in Settings first.

Edit or delete a vaccine record

  1. Open the pet's Vaccine tab.

  2. Click the edit icon next to the vaccine record you want to update.

  3. Make your changes, then click Save.

To delete a record, click the delete icon next to the vaccine. This cannot be undone.

Vaccine expiration notifications

Each vaccine record has an Expiry notification toggle. When turned on, MoeGo will alert you when that vaccine is approaching expiration.

πŸ“ Note: Expiry notifications are turned on by default for all new vaccine records. You can toggle them off individually per vaccine if needed.

⚠️ Important: If the Expiry notification toggle is turned off for a vaccine, the vaccine alert icon will no longer appear on the appointment or appointment card β€” even if the vaccine is expired or missing. Staff will not be alerted at scheduling time.

Vaccine alert colors on appointments

When a pet's vaccine status requires attention, a syringe icon appears on their appointment cards.

Hover over the syringe icon on an appointment card to see exactly which vaccines are missing or expiring.

The color tells you what action is needed:

All vaccines are current, but one or more expire within the next 30 days

All required vaccines are up to date

πŸ“ Note: Vaccine alerts only appear for the care types you've set in your vaccine requirements. For example, if Bordetella is required for Boarding only, the alert will not appear on Grooming appointments.

Find pets with missing or expired vaccines

To pull a list of clients whose pets need updated vaccines:

  1. Go to Clients & Pets.

  2. Click All Filters.

  3. Use the Pet Vaccine filter and select Expired or Missing.

  4. Combine with other filters (breed, care type, etc.) to narrow the list.

πŸ’‘ Tip: You can use this filtered list to send a bulk message to affected clients asking them to submit updated vaccine records.

Collect Vaccination Records From Online Booking

You can also enable a vaccine-related question in online booking to collect vaccination details automatically:

  • Go to Online Booking > Settings > Questions > Pet > Add Question > Vaccine.

  • Enable the Vaccine question and mark it as required to capture expiration dates. This information will update the pet’s profile automatically.

Automating Notifications and Reminders (Beta)

MoeGo’s Workflow feature allows you to automate reminders for vaccinations:

  • Set up workflows to notify clients when a vaccine is due or expired.

  • Use workflows to send mass vaccine update requests to clients.

Important Notes:

  • Clients do not receive automatic notifications for expired vaccinations unless workflows are configured.

  • Workflows are available on both the Growth and Ultimate plans.

FAQs and Troubleshooting

Can I send reminders only to clients with expired vaccination records?

While you cannot customize automatic messages for expired records, you can:

  • Use filters to create a list of clients with expired records and send a bulk message.

  • Build a workflow to identify clients with upcoming appointments and expired vaccines, then send them a message automatically.

What does the missing-vaccine notification toggle do?

The toggle flags missing vaccines in booking and on the pet profile (e.g., a red syringe icon). It does not control whether vaccine information is requested during online booking. This is managed through Online Booking > Settings > Questions.

Can MoeGo remind clients about expired rabies vaccinations?

Yes, you can configure workflows to send reminders for expired rabies vaccinations. By leveraging these features, you can efficiently manage pet vaccination records, automate reminders, and ensure compliance with vaccination requirements.
