Client & Pet Setting - Pet Vaccine

The Pet Vaccine Settings allow you to collect required vaccination information from clients and control whether specific vaccines are required for booking. You can customize vaccine requirements by pet type and appointment type (such as grooming, boarding, or daycare).

Set Up Pet Vaccine Settings

You can create new vaccines, edit existing ones, and control whether each vaccine is optional or required.

πŸ–₯️ Desktop:

  1. Go to Settings > Clients & Pets

  2. Under the Pet section, select Pet Vaccines

  3. From here, you can:

    • Add a new vaccine

    • Edit an existing vaccine

For each vaccine, you can configure:

  • Applicable pet type (e.g., dog, cat)

  • Requirement status for scheduling:

    • Optional – Clients can book without submitting this vaccine

    • Required – Clients must submit this vaccine before scheduling

  • Care type restriction (if required) – You can require the vaccine only for specific services type such as:

    • Grooming

    • Boarding

    • Daycare

  1. Go to Settings > Clients & Pets

  2. Select Pet Vaccines

  3. From here, you can:

    • Tap Add to create a new vaccine

    • Tap on an existing vaccine to edit it

    • Drag vaccines to reorder the list

How Pet Vaccine Settings Are Used

Your Pet Vaccine Settings control how vaccines appear and are required in online booking, appointments, and client profiles.

Online Booking

  1. Go to Online Booking > Settings > Questions

  2. Select Pet

  3. Add Vaccine as a question

  4. Click Edit on the vaccine question to configure the requirement

You can choose:

  • A specific vaccine type, or

  • Based on vaccine settings (recommended)

When using Based on vaccine settings, the system will:

  • Display the vaccine question based on the setting configured in pet vaccine settings:

    • Required Vaccine in Pet Vaccine settings

    • Pet type (Dog, Cat, etc.)

    • Care type (Boarding, Daycare, Grooming)

Here you can also configure whether:

  • Expiration date is required

  • Vaccine documents are required

Business will receive notification to review the new vaccine records provided.


Intake form

  1. Go to Intake Forms > Settings

  2. Edit the form

  3. Add or edit the Vaccine field

  4. Manually select which vaccines are required

⚠️ Important Note:
Currently, Pet Vaccine Settings do not automatically control vaccine requirements on intake forms. You must manually select which vaccines are required for each intake form.


Client Profile

πŸ–₯️ Desktop:

  1. Go to Clients & Pets List

  2. Select a Client Profile

  3. Open the Pet section

  4. Under Vaccinations, you will see:

    • All recorded vaccines

    • Expiration dates

    • Uploaded vaccine documents

If Vaccine Notifications are enabled, relevant alerts will also appear in the appointment details.

  1. Go to < Clients & pets > on the side menu bar

  2. Select a client

  3. Select a < Pet >

  4. Scroll down and find the Vaccinations section

  5. Here you can manage the vaccine expiration date and relevant document

  6. Choose to turn on the < Expiry notification > toggle


Appointment

Vaccines are displayed in appointments based only on the pet type and care type rules defined in your Pet Vaccine Settings.

For example:
If Parvovirus is set as required only for Boarding and Daycare, and the pet does not have a valid vaccine record on file:

  • A missing vaccine indicator will appear on Boarding and Daycare appointments

  • The indicator will not appear on Grooming appointments

If Vaccine Notifications are toggled off in the pet profile under the Vaccinations section, the vaccine icon will no longer display:

  • On the appointment

  • On the appointment card in the calendar

Vaccine Syringe Indicator Colors

The vaccine syringe icon uses different colors to help you quickly understand a pet’s vaccine status:

  • πŸ”΄ Red
    Displayed when at least one required vaccine is missing or expired.

  • 🟑 Yellow
    Displayed when no vaccines are missing or expired, but one or more vaccines will expire within the next 30 days.

  • 🟒 Green
    Displayed when all required vaccines are up to date, with no missing, expired, or soon-to-expire vaccines.

Appointment Detail Drawer

In the Appointment Detail drawer, you can hover over the vaccine icon next to the pet’s name to view:

  • Which vaccines are missing

  • Which vaccines are expired

  • Which vaccines are recorded with the expiration date

This display follows your configured Pet Vaccine Settings.

Grooming Calendar

On the Grooming Calendar, hover over the vaccine icon on the appointment card to see details about:

  • Missing vaccines

  • Expired vaccines

Boarding & Daycare Lodging Calendar & Home view

On both the Lodging Calendar and the Home View for Boarding & Daycare, hover over the vaccine icon on the appointment card, or next to the pet name to view:

  • Missing vaccines

  • Expired vaccines
