In this article, we will focus on how to handle cancellations and no-shows, ensuring accurate reporting and accounting.
Depending on the appointment status and payment status, you will be presented with different options to:
Directly cancel the appointment,
Mark it as a no-show,
Charge no-show fees,
Or process a refund if applicable.
Cancel appointment Overview
💻 Cancel appointment (Web)
Go to appointment details > 3 dots > cancel appointment.
Unfinished & Unpaid appointment
You can directly cancel or mark it as a no-show, then charge a no-show fee.
Unfinished & Partially paid appointment
You can select whether or not to refund the partial payment (deposit) or mark the appointment as a no-show with a no-show fee required.
Finished & Partial/ Fully paid appointment
Please note: The appointment cannot be canceled without a refund.
This prevents inconsistencies in reports and accounting by ensuring that finished and paid invoices remain final.
📱Cancel appointment (App)
Select an appointment and open the Appointment details
Select < Cancel >
Input a cancel reason
Select < OK >
To mark an appointment as a no-show while cancelling the appointment on the app:
Select the appointment to view the appointment details
Switch the status to < cancelled >
Mark as no-show and enter the cancel reason, then select < OK >
A no-show fee pop-up window will appear
select < no > to only mark as a no-show or < yes > to charge the no-show as well.
If < yes >, follow the prompts to charge the no-show fee.
